2. What Personal Data We Collect
When you submit our contact form, we collect:
- Your first and last name
- Your email address
- Your phone number (optional — only if you choose to provide it)
- The content of your message
We do not collect any sensitive or special-category personal data. We do not use tracking cookies or analytics tools on this website.
3. How We Use Your Data
We use the information you provide solely to respond to your enquiry — for example, to answer questions about our services, provide a quote, or arrange a visit to your premises. We do not use your data for marketing without your explicit consent, and we do not sell or share it with third parties for their own purposes.
4. Legal Basis for Processing
We process your personal data on the basis of legitimate interests (Article 6(1)(f) UK GDPR) — specifically, to respond to an enquiry you have chosen to send to us. Where you have provided optional information such as a phone number, we rely on your consent for any follow-up by that channel.
5. Third-Party Processors
Your contact form submission is handled by Formspree (formspree.io), a third-party form processing service. Formspree acts as a data processor on our behalf and transmits your message to us by email. Formspree's own privacy policy is available at formspree.io/legal/privacy-policy.
We do not share your data with any other third parties unless required to do so by law.
6. How Long We Keep Your Data
We retain enquiry correspondence for up to 2 years from the date of last contact. If you become a client, we retain records relating to work carried out for you for up to 6 years in line with standard business and legal record-keeping requirements. You may request deletion of your data at any time (see Your Rights below).
7. Data Security
We take reasonable steps to protect your personal information. Enquiry data is received via email over encrypted (TLS) connections. We do not store your personal data in any third-party CRM or database beyond standard email.
8. Your Rights
Under UK GDPR, you have the following rights in relation to your personal data:
- Right of access — to request a copy of the data we hold about you
- Right to rectification — to request that inaccurate data is corrected
- Right to erasure — to request that your data is deleted
- Right to restriction — to request that we limit how we use your data
- Right to data portability — to receive your data in a structured, machine-readable format
- Right to object — to object to processing based on legitimate interests
To exercise any of these rights, please contact us at info@applegarthhealthandsafety.co.uk. We will respond within one calendar month.
9. Complaints
If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection supervisory authority.
ICO website: ico.org.uk
ICO helpline: 0303 123 1113
We would always welcome the opportunity to resolve any concern directly before you contact the ICO — please do get in touch with us first.
10. Changes to This Policy
We may update this privacy policy from time to time. Any changes will be posted on this page with an updated date at the top. We recommend checking this page periodically.
